That is because accounting for a distributor is really accounting for inventory. Inventory is usually the largest asset on the balance sheet, margins are thin, and the true cost of an item includes far more than its purchase price. Software that only sees invoices and payments cannot see most of what decides whether a distributor makes money.

Why Distributors Need More Than Basic Accounting

A service business can run its books from invoices, bills, and bank transactions. A distributor cannot, because most of its financial activity starts somewhere else:

Inventory is the balance sheet. Every receipt, transfer, adjustment, return, and shipment changes inventory value, and each one has to reach the general ledger accurately.

General accounting software

For a small distributor with one location and straightforward customers, general accounting software can be enough. Some editions add sales orders, purchase orders, multiple inventory sites, and lot or serial tracking. Accounting software plus add-ons

The usual next step is to keep the accounting system and add products around it. Each one solves a real problem, but each also adds a contract, an integration, and a second copy of the data. Distribution ERP with built-in financials

In a distribution ERP, the general ledger is part of the same system that receives, picks, ships, and invoices. When a receipt is posted, inventory value increases. When an order ships, revenue and cost of goods sold post at the same time. How to Evaluate Accounting Software for Distribution

Ask every vendor to run your scenarios live, and watch what happens in the general ledger, not just on the order screen:

Receive a partial shipment with freight and duties, and show how the landed cost reaches inventory value.
Ship and invoice an order at a customer-specific price, and show the revenue, cost of goods sold, and margin it posts.
Process a customer return and a vendor return, and show the inventory and accounting entries.
Match a vendor invoice to its purchase order and receipt, including a price difference.
Report margin by customer, product, warehouse, and sales rep, including freight and commission.
Close a period across two locations or entities, and show what still has to be reconciled.
